Virtual Camp Participation Terms:
By registering my child, campers and their parents/guardians must agree to the following Participation Terms for the safety and welfare of the campers and staff, including the Cancellation Policy below, as well as discussing basic Internet safety.
A minimum number of campers are required for each technology offering. Program is subject to change without prior notice but all decisions regarding cancellations will be before December 2, 2024.
No participant will engage in any form of cyberbullying, including but not limited to hurtful or threatening messages, exclusion, offensive comments, or inappropriate content/language.
Participants will listen to and follow the staff’s instructions at all times.
Participants will not share personal information such as email, phone number, address, school, photos of themselves, or social media handles via Zoom. If a Staff member needs any personal information for any reason, TIC year-round staff will contact the Parent/Guardian directly.
Participants will not contact TIC Staff outside of the official channels provided by the year- round staff.
Participants will apply a Zoom background to their image or have a wall as their background during Zoom meetings where their camera is on. This is so others in the household or other personal information cannot be seen in the background of videos.
Participants and Parents/Guardians understand that Staff remain mandated reporters while working with campers in the virtual setting.
Participants will not share Zoom passwords or links with anyone.
Participants will check with their parent/guardian before downloading any software to their computer.
Participants agree to immediately tell a trusted adult if something makes them uncomfortable, upset, or fearful. Everything that happens while they are participating in Camp OptimisTIC should be something they are excited to share and feel very comfortable sharing. If they are uncomfortable for any reason, it is critical they let a trusted adult know right away.
Participants and Parents/Guardians understand that a Staff member running a virtual activity is not a substitute for in-person supervision. The Parent/Guardian is responsible for ensuring that their camper has a safe space in which to participate in Camp OptimisTIC activities.
TIC will thoroughly vet any programs that participants will need to download for an activity, however, TIC is not responsible for any viruses, malfunctions, or cybersecurity risks incurred as a result.
Only campers registered for Camp OptimisTIC may participate in the program offerings and may only participate in the offerings they are specifically registered for. Participants are prohibited from recording any Camp OptimisTIC activities.
Participants understand that, just like at camp, participation in any activity is their choice. It is okay if they do not want to participate in any aspect of Camp OptimisTIC.
TIC Staff have the right to ask any participants that do not follow the above Participation Terms to leave the session, and the year-round staff may issue warnings and temporary or permanent bans from Camp OptimisTIC sessions.
In the case of an emergency, parents will be notified as soon as possible. The proper authorities will be called and/or notified if it is a life-threatening emergency. Please make sure your information is up to date in our records. TIC Summer Camp is required to report any suspected child abuse as required by the law.
In the event, the opening of camp is delayed or camp ends early due to an act of God or civil authority or other reason beyond the control of the camp, no adjustment of tuition will be made. It is agreed that any dispute or cause of action arising between the parties, whether out of this agreement or otherwise, can only be brought in the Circuit Court located in Fairfax County, and shall be construed in accordance with the laws of Virginia.
Cancellation/Refund Policy:
For Camp Optimistic’s Winter Break Session, you have the option to pay in full, or pay the deposit now and balance on December 10, 2024, using the following payment methods:
Credit cards (Visa, MasterCard, American Express and Discover) — 3% surcharge
Debit or prepaid credit cards — no surcharge
eCheck or ACH payment (Checking or Savings Account) — no surcharge
A $100 deposit (per camper/session) is required for enrollment and will apply towards your camp fees.
There are no refunds for a camper who does not participate in an option or session they are registered for.
Cancellations before December 2, 2024, will receive a full refund. After December 2, 2024, the full tuition is required at registration, and any session cancellations will receive a full refund minus the $100 deposit per camper/session. After December 10, 2024, there will be no refunds or credits for any enrollment cancellations, absences during a session for illness or otherwise (including COVID-19), nor prorating of fees for partial attendance.
December 10, 2024 is the final payment due date when any outstanding balances will be automatically charged to the payment method provided during registration. All payments for Camp OptimisTIC’s Winter Break Session are non-refundable and non-transferable after December 10, 2024. There is no prorating for absences.
